Receptionist/Operations Assistant | 3 month+, temporary role | in-person assignment in NYC | Foundation
Our client is looking for a Receptionist/Operations Assistant for a 3 month+, long term temporary position. The role is Monday-Friday, 35 hours per week, and all candidates must be able to work fully in-person from their upper-Manhattan office (vaccination required).
The organization is foundation - the main focuses include daily receptionist tasks, managing aspects of meeting rooms and cafes services, maintaining safety and professional decorum of office space, and light administrative tasks.
Responsibilities
-Answer, screen, and direct as necessary all calls through the main line (ebbs and flows). Review voicemails and attend to callers’ messages.
-Greet, announce, visitors and offer guests refreshments; inform staff of the arrival of their guests and deliveries, as needed. They try to have all guests/visitors provide proof of vaccination prior to arriving, however, there are a few that don’t email the card ahead of time. In these instances, either the staff member who is meeting the guest will check, but the temporary employee may also be asked to check. If the individual needs to check, they will be made aware of this need prior to the guest arriving.
-Prepare office and maintain daily operations by emptying dishwashers, tidying all counters, and performing other relevant tasks to ensure a professional office environment.
-Function as the primary backup for Operations Associate for mailroom and café responsibilities.
-Process all invoices associated with areas of responsibility, e.g., reception and café services.
Qualifications
-Experience as a receptionist and strong solution-focused customer service orientation.
-Knowledge of usage and maintenance of office equipment e.g., fax, copiers, printers, audiovisual equipment, etc. Experience with Pitney Bowes postage machine and processing of mail, including postal rates, bulk mail, parcel post, books, international mail, special delivery, and certified mailing procedures.
-Proficiency in relevant software applications, including MS Office (Word, Excel, Outlook, etc.), ability to effectively use the Internet, and aptitude in developing competency in the use of applicable institutional software such as Box, SharePoint, Angus System, etc.
-Ability to attend to moving, lifting, pushing, pulling heavy items.
Salary: $22-$26/hr, commensurate with experience.
