Part Time Admin Assistant | 2 months+ | NYC office, in-person | Real Estate Development Co.
Our client is looking for a Part Time Administrative Assistant/Office Manager for a 2 month+ temporary assignment. The role is 3 days per week – Mondays, Wednesdays, and one additional day. About 24 hours per week. The pay rate is $30-$36/hr. This is a fully in-person role and all candidates must be available to work in-person in their midtown Manhattan office. (No remote work.)
The client is a real estate development company - this role provides administrative/office management support to the small office and direct admin support to the owner.
Looking for medical leave coverage – through the end of September 2023. If things go well, they may be hiring for a permanent role in the future, but this not necessarily temp-to-perm.
The person on leave will still be working from home and cover some tasks. The temporary role will be fully in-person and pick up the in-person work, help the person on leave, and pick up other admin tasks/projects assigned, as applicable.
The role is the Executive Assistant to one of the Owners, Assistant to others in the office when needed, Office Manager in conjunction with their current Office Manager (who is on leave).
EA work:
-Scheduling and calendar management for professional and personal calendar. Owner will also put things on the calendar himself and likes reminders and follow-ups.
-Book travel and liaise between owner’s 3 residences.
-Assist with real estate projects.
-He is on a few Boards so help with scheduling and prep.
-Owner comes into the office about 1-2 times per week in the summer. Less during the rest of the year.
-He will communicate via phone, text, and email. Sometimes will be looking for an immediate reply.
-Help prep for meetings and follow up on projects he is working. Sometimes need to remind him or ask him things a few times before he will have time to answer.
-Needs someone who has great follow-up and is detail-oriented. Someone who will initiate things and not wait for him to give them work. “How can I help” or “You have this coming up”…and follow up if he doesn’t provide an answer right away.
Office Management:
-May work with people across 5 offices – NYC, Florida, Georgia, Illinois, and Michigan – but most work will be centered in NYC office.
-Answer office phones, not heavy, they use Ring Central VOIP and can train.
-Greet guests and accept deliveries.
-Manage office and conference room calendar.
-Set up conference rooms for meetings, including MS Teams.
-Assess inventory and order supplies within budget constraints.
-Stock kitchen and keep kitchen and conference rooms tidy.
-Everyone loads dishwasher but help out and sometimes unload dishwasher in the morning.
-General admin tasks and projects – excel, PowerPoint, Adobe Acrobat document management.
Looking for:
-A few years of previous experience assisting a small or midsized office and a top executive.
-Someone tech savvy who is able to learn/use office centered software and knows what questions to ask to make things run efficiently.
-Someone with a no task is too small mindset.
-Someone comfortable being in-person in a small office.
-Someone who is comfortable speaking with a variety of different kinds of people – lenders, contractors, property owners, and other business associates.
Tech: MS Office – Word, Outlook (2-3 calendars), Excel (tracking, organizing, expenses, budgets), and PowerPoint (create deck using their branding). SharePoint. Teams for video. Some zoom. Adobe – basics to edit documents. DocuSign. Nexus.
Compensation: $30-$36/hr, commensurate with experience
