Temporary Program Staff | 5-6 month role | 2-3 days/wk | Arts Non-profit


Our client is looking for an experienced Grants or Program Assistant for a long term (approximately 5-6 month) temporary assignment. This is a part time role, 2-3 days per week. This role is hybrid and must be available to work on-site at their Manhattan office. All employees are required to have COVID-19 vaccination.

The client is a culture and arts non-profit and this role does grants and program support while the department is short staffed. Candidates must have previous experience (1) working with a selection panel to help award fellowships, (2) creating grantees programming, and (3) using any grants system database.

Job Duties:

• Help manage the annual grantmaking and fellowship award process and recommend improvements as needed.

• Convene and organize grant cycle panel selection, orientation, and review process for the upcoming grant cycle under direction of the Executive Director.

• Support Fellowship program services in organizing local programs for 10-12 New York-based grantees. May require off-site meetings, visits, and program participation. Program services provide grantees access and connections to institutions, alumni, and others in their respective fields to help maximize their grant experiences.

• Coordinate programs and events to continuously engage with current grantees and alumni.

• Work with the Programs team to test the 2024/2025 grantee portal and monitor daily inquiries from applicants and other participants.

• Conduct feasibility due diligence of select grant proposals and review grant applications for eligibility criteria and requirements during the upcoming 2024/2025 grant cycle.

• Partner with the Grants Administrator to maintain the grants management system (AkoyaGO) process, track grant progress, and provide timely reports.

• Effectively co-manage grantee relationships in collaboration with affiliate offices. Serve as an internal and external point of contact for grant-related matters.

• Work with the Grants Administrator to supply grantees’ J-1 visas, health insurance, and travel- related needs as required and necessary.

• Work with the Marketing and Communications Department in its efforts to publicize annual awardees’, grantees’ work, and to share and publicize impact stories.

• Work closely with the Grants Administrator to ensure effective and timely grants administration.

• Assist in preparing Programs dept. reports for Board meetings, Program Committee of the Board meetings, and other needs.

• Co-manage grantmaking budgets and monitor for effective use of grant funds.

• Occasional evening and weekend attendance required for grantee/alumni activities.

Tech: MS Office, Teams, zoom, AkoyaGO (grants database - MS Dynamics based and can teach)

Compensation: $30-$35/hr
