Administrative Support to Team | 10/10/23 through 12/15/23 | 20 hours/week | Hybrid in NYC | Non-profit


Our client is looking for an experienced Admirative/Executive Assistant for a temporary assignment from 10/10/23 through 12/15/23 (dates are not flexible), while someone is out. This is a part time role, 20 hours per week, Monday-Thursday. This role is hybrid and must work on-site in their Manhattan office on Wednesdays and Thursdays. All employees are required to have COVID-19 vaccination.

The client is a non-profit that helps resolve global disputes and this role does general administrative support for the CEO and senior team. Candidates must have experience working for a senior supervisor, experience facilitating Zoom and Teams video meetings, and a flexible schedule.

Job Duties:

-Scheduling for CEO and senior staff. Not day-to-day calendar management, but help schedule group meetings.

-Facilitate MS Teams and Zoom meetings and webinars. Want someone with experience admitting people, hosting as admin, setting up webinars, troubleshooting, etc. Meetings are mostly between 10am and 3pm and a lot of them are at lunchtime, but this person needs to be flex and there are occasional evening events.

-Answer general phone number while working. Will need to download an app to their cell phone and answer calls while on duty. When on duty, the calls will roll to someone else. Mostly taking messages and getting back to people.

-Processing incoming & outgoing office mail/packages, including depositing and tracking incoming checks. Mange the Fed-Ex account.

-Partner with Operations Manager to assist with all administrative duties for the office: correspondence, events, organizational projects, database work, pulling reports, working in Excel and PowerPoint, basic expense assistance, dropping things off at the post office, etc.

Tech: MS Office (Teams, Word, Excel, Outlook, PowerPoint), Zoom, Novi (can teach).

Compensation: $24-$26/hr
