Executive Assistant | ongoing, temporary role | remote | Diversity/Equity Non-Profit
Our client is looking for an Executive Assistant to the interim CEO. This is a remote role, but must be done from the greater NYC area. The role is 35 hours per week and will include some evening and weekend email checking. The client is a non-profit working to improve equity and diversity in the sports community. They are looking for someone with 5+ years of EA experience supporting a C-level Executive (candidates without this experience will not be considered).
Job Description:
-Manage complex executive calendars and inboxes, balancing competing priorities and problem solving
-Coordinate internal and external customer communications on behalf of the IEO
-Manage Projects and Programs on behalf of the IEO
-Maintains documents, electronic and hard copy for the office of the IEO
-Coordinates project and customer meetings and engages internal stakeholders for delivery, commitments, and deadlines
-Coordinates staff and client events and meetings, including board meetings, investor events, and more
-Organize internal & external venues and resources to support meetings and events
-Coordinate complex international and domestic travel with compliance to travel policies
-Prepares and submits expense reports
-Facilitates contracts, POs, etc. in alignment with procurement policies
-Acts as delegate for system reviews and approvals in alignment with expense policies
-Coordination of presentation and presentation material
-Contacts stakeholders to coordinate delivery of research requests and briefing materials
-Partner with other members of Administrative Shared Services team to offer excellent administrative support to business units and leadership
Qualifications
-5+ years of high level, complex administrative work experience including heavy calendaring and complex international travel coordination, preferably within a high-tech environment
-English and Spanish speaking a plus
-Experience working with executives
-Experience working virtually
-A polished, professionally mature, positive, customer service mindset
-Power user of Google Mail and Calendar as well as Microsoft Office suite: Outlook, Teams, Word, Excel, and PowerPoint
-Ability to work and strive in a fast-paced, matrix environment and execute against multiple projects and deadlines, prioritizing and re-prioritizing
-Progressive demonstrations of increased responsibilities
-Ability to work some nights and weekends during peak season
