Executive Assistant at Foundation - 12 month contract (in-person work required)
Our client is looking for an Executive Assistant (must have 3-5 years experience) for a 12 month contract. The position is 40 hours per week. You must be available to work in their NYC office up to 50% of the time (rest can be hybrid).
Job Description: Looking for a temporary Executive Assistant for 12 months to handle meeting scheduling, coordinate travel, process monthly expenses, organize documents, take notes at meetings and manage other administrative and logistical tasks to support the department Director.
Key responsibilities:
-Manage complex calendars, coordinate meetings, and ensure that scheduling is handled in an efficient manner.
-Coordinate travel arrangements including obtaining visas, scheduling flights and hotel bookings.
-Perform high level administrative functions, including taking notes in meetings.
-Reconcile monthly expenses and expense reports.
Key skills and experience:
-3-5 years of experience in administrative support, preferably at least 2-3 years of dedicated executive assistant with solid experience providing logistical support.
-Strong attention to detail, ability to handle multiple tasks at once with little notice and with a high degree of autonomy and self-motivation.
-Able to make administrative, procedural decisions and judgments and handle sensitive information with discretion and confidentiality.
