Administrative Assistant at Foundation - 4 month role (in-person work required)
Our client is looking for an Administrative Assistant to assist their real estate and facilities teams. The role starts ASAP and they need the help through the end of November. The position is 40 hours per week. You must be available to work in their NYC office up to 50% of the time (rest can be hybrid). Must be able to lift up to 50 pounds.
Job Description: Looking for temporary help to provide backup coverage and assist with varied day-to-day administrative duties. Tasks will include processing payments as instructed, organizing event catering requests, submitting stationery orders, expense reports, placing routine supply orders, and data entries projects to organize records and inventory lists. The person may also be tasked with moving and lifting furniture (approx. 50 lbs.)
Key responsibilities:
· Managing payment processing, keeping all accounts payable up to date
· Assist with on-site events, gathering information including room set-up specifications and catering requests.
· Communication with staff to process stationary orders requests
· Expense reporting for general departmental purchases
· Physical labor when moving furniture and supplies as needed
Key skills and experience:
· Someone with a high attention to detail who has experience managing many functions with limited supervision
· Strong understanding and effectively using standard office equipment and standard software packages to support business processes.
· Good writing skills and sensitivity to cultural communication differences etc.
· Strong people skills, with the ability to handle issues on the fly.
· Able to move heavy furniture
· Willing to learn new payment systems.
