Special Events and Database Development Coordinator | in-person role in Manhattan, NY | Non-profit Organization
Our client is looking for a highly skilled, well organized, self-starter to be a Special Events Fundraising Coordinator to assist with fundraising events and handle all aspects of event processes, provide administrative support and to spearhead special events management and marketing.
Our client is a small non-profit that supports innovative medical treatment and healthcare. We are assisting them in searching for and screening possible candidates for this role. If selected, you would be a direct hire employee of our client. We have worked with this organization for many years and they are a small, non-corporate office that mainly focuses on fundraising. Everyone is is wonderful to work with and they have a welcoming, team environment.
General Responsibilities
Coordinating special events. Administrative responsibilities include preparing correspondence, proposals and other documents; screening telephone calls from donors; coordinating mailings and working with mail house; acting as a point person with graphic designer and other event and office vendors.
Specific major responsibilities include:
-Manage events, becoming proficient and knowledgeable about event management; this includes being responsible for most aspects of an event, including logistics, preparation of printed materials, and working as liaison with venues and their managers, working with caterers, graphic designer and entertainment, and hands on supervision of actual event
-Organize and manage, with Executive Director, small and large-scale fundraising events
-Large-scale fundraising event includes annual gala, golf outing and annual 5k walk /run in NYC and Santa Barbara (and eventually in South Florida and Boston) and a host of smaller annual events and parlor meetings
-Provide support for Executive Director
-Communicate often with donors by phone and attend occasional meetings concerning events
-Educate donors and prospects through fundraising events, creating / editing / distributing marketing materials, branding, educational programs, and assorted written materials such as annual magazine, gala journal and weekly email blasts
-Thinking strategically; recommend and implement new strategies, programs, and initiatives
-Oversee website and weekly email blasts as well as social media, especially Twitter and Facebook
-Time permitting, develop and update research on individuals and foundations, identifying viable prospects
-Recruit, train, supervise volunteers for events and hire interns for office work and special projects
-Strategically involve lay committee members for special events, providing necessary professional support to appropriate lay committees and volunteers, including preparation of minutes from meetings, and providing necessary follow-up to meetings with continued outreach
-Maintain records of donor portfolios both in Raiser’s Edge and in files, and evaluate donor progress regularly with Executive Director
-Stay current on donors and foundation / funding world, as well as philanthropic trends; this includes reading newspapers, trade publications, journals, and other related materials
-Prepare solicitation mailings, emails, and other donor communications
Skills & Experience
The ideal candidate will have at least two to three years of related experience in a non-profit environment, communication skills and the ability to work both independently and as part of a team. Must be able to handle multiple tasks and special projects. Familiarity with a CRM system; working knowledge of Raiser’s Edge a plus. Prior experience with development/fundraising whether in a college or professional setting
Qualifications
-Bachelor’s degree or higher
-Strong knowledge of Microsoft Office, including Word, Excel, and Outlook
-Ability to work fully in-person in Soho office (part time hybrid may be possible)
-Excellent written and verbal communication skills
-Excellent interpersonal skills
-Extremely well-organized team player with the ability to multitask within a fast-paced work environment
Salary is $45,000-$65,000 per year, commensurate with experience, and they have great benefits.
