Executive Assistant | mostly remote | non-profit org

Our client is looking for an experienced Executive Assistant to support their Executive Director. This role is mostly remote, but occasional travel and ability to meet in-person in the NYC area is preferred. This is a temp-to-perm role…you would start as a temporary employee and after several months it could turn permanent.

The organization is a non-profit that advocates for equality - this role gives top level Executive Assistant support to the Executive Director, handles VIP clients, and liaises with the Board.

Duties and Responsibilities

The Executive Assistant will provide support and coordination for the organization’s senior leadership and high-level executives. The hired professional will be expected to contribute to the overall efficiency of the organization. The hired candidate will filter and prioritize communication, phone calls, requests and communicate on behalf of the executive they support. They will manage the executive’s daily calendar, submit expense reports and invoices, including scheduling meetings, confirming appointments, writing itineraries and arranging for transportation. The role will also train other administrative staff on company policies and best practices. The hired professional must present the highest level of maturity, decorum, experience and confidentiality. The best applicants will have extensive experience supporting executives in the recent past. They are requesting 5-7 years of previous Executive Director/C-level EA experience.

Duties will include but not be limited to:  

• Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf

• Maintaining comprehensive and accurate records

• Performing minor accounting duties

• Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary

• Answering phone calls/emails in a polite and professional manner

• Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters

Qualifications:

• B/A or B/S preferred

• Stellar performer holding a track record and clear exhibition of professional maturity and brand based fundraising

• Previous experience in management/leadership, with demonstrable and quantifiable evidence of success

• Previous success and experience working in organizations and roles held in the public’s trust

• Familiarity, comfort and commitment to excellence in both the principles and practices of diversity, equity and inclusion.

• Strong, honest, ethical work demeanor and style

• Demonstrated ability to provide attention to detail and concern for accuracy and consistency in results

• Proficient in developing, maintaining and utilizing CRM tools.

• Must possess strong presentation skills and proficiency in computer application programs

• Friendly, outgoing personality, with an ability to connect via phone/zoom and in person

• Able to effectively communicate with peers, superiors, and club staff via excellent listening and communication (both written and verbal)

• Ability to energize others around a mission, and work through moments of shared and opposing goals

• Ability to work independently and in a team environment

• Organized and self-motivated with ability to meet strict deadlines be accountable

• Exemplary mastery of English; Bilingual (Spanish) is a asset

• Full-time equivalent (Required)

Experience: Minimum 5 to 7 years assisting senior executive leaders and board members

Software: MS Office (Word, Excel). Google workspace (cal, gmail, hangouts, share).

Compensation: Temporary Role: $28-$35/hr, commensurate with experience

Permanent Role: $75,000-$100,000. Excellent benefits.
