Senior Facilities Manager | Manhattan, fully on-site | Philanthropy/Venture Capital

Our client is looking for a Senior Facilities Manager or Senior Workplace Experience Manager for a temporary to permanent hire. The role is Monday-Friday, full time hours. This is a fully in-person role, all candidates must fully vaccinated and have at least 1 booster against COVID-19 and be available to work 5 days per week on-site at their Manhattan Office.

Our client is a philanthropic organization that seeks to make the US a more just society - this role will oversee the day-to-day operations of their NYC based offices. This role will assume a critical role in helping to maintain a best in class, efficient, professional, and customer service focused office environment. The ideal candidate will be the “go to” person on the Workplace Experience team in NYC.

Role and Responsibilities

-Ensure the offices in NYC are well maintained, secure, and the team completes all related tasks.

-Provide best-in-class customer service to staff, guests and vendors with a high degree of attention and care.

-Act as the day-to-day point of contact for the property manager, chief engineer, and security system vendor at all of NYC offices.

-Participate and develop plans/services for continuous improvement and be accountable within a budget.

-Monitor and audit NYC Workplace Experience operational spending.

-Manage NYC lunch program.

-Oversee NYC shipping and receiving.

-Manage tenant improvement buildouts that occur within the space.

-Proactively engage with neighbors, office and retail tenants, portfolio partners on any needs to ensure the company is making a positive impact.

-Ensure office supplies and equipment are kept well stocked and in good working order.

-Proactively and continuously work with IT to ensure conference room technology is exceeding the needs and expectations of the staff.

-Perform back up responsibilities for other offices on the East Coast when necessary.

-Work with the People team and IT to coordinate new employee on-boarding for NYC and serve as point person for Workplace Experience onboarding.

-Work closely with events team and other staff to help to coordinate vendors for events and ensure offices are prepped for event requests.

-Serve as primary point person to liaise with teams in NYC to ensure the Workplace Experience team is providing the attention and care necessary to meet office needs.

-Work closely with the Senior Director of Workplace Experience to develop office processes and systems that will improve upon an employee’s workplace experience at the highest standards of care.

-Travel to support other offices when requested.

 

Qualifications, Skills and Requirements

-10 years of relevant experience in office operations (and other hospitality service).

-Previous people management experience.

-Budgeting, planning, and decision-making experience.

-Interest in operating an environmentally sustainable office.

-Experience in working in a fast paced, high-profile office environment.

-Able to represent the company with professionalism, integrity and a strong customer service attitude.

-An enthusiastic team player who is accountable and willing to tackle anything from small internal administrative tasks to high profile requests.

-Detail oriented with the ability to organize, prioritize and manage multiple responsibilities within a fast-paced environment; and remain calm under pressure.

-Strong written and verbal communication skills, and a demonstrated ability to interact with executive team members.

-An independent and proactive self-starter who is motivated to take on additional responsibilities over time.

-Collaborative with strong interpersonal skills, and the ability to integrate quickly into a small team.

-Able to work in an environment that requires discretion in dealing with confidential matters.

-Familiarity working in a MAC office environment.

Temporary pay rate: $62-$70/hr.

Permanent salary: $150,000-$165,000, commensurate with experience. Excellent benefits.
