Executive Assistant to ED | Manhattan, hybrid | Non-profit

Our client, an international humanitarian organization, is looking for a dynamic, organized, and experienced Executive Assistant to their Executive Director. This role is temp-to-perm, you would start as an employee of our company (TSS) and it could turn permanent after 3-6 months if there is a great fit!

This is a hybrid role and you would be required to work onsite in Manhattan, NYC 1-4 days/week, depending on the week.

This role is direct support to work closely with the ED covering administrative tasks, as well as supporting him in his role as a liaison to the international network of organizations (specifically on tracking and updating reporting requirements to the network), help with some contract management and operational systems (e.g., Justworks, HR files, MS OneDrive, etc.), assist with budget tracking, and other responsibilities. Candidates must have 3-5 years of previous experience in a relevant setting or position.

Daily Duties will include:

-Providing scheduling and calendar management for the ED

-Assisting with meeting scheduling

-Tracking receipts and expenses for reporting

-Drafting written reports and correspondence on behalf of the ED

-Taking meeting minutes

-Returning messages and correspondence on behalf of the ED

-Coverage for ED when he is traveling

-Budget drafting and management with the ED

-Adept at analyzing budgets and creating basic visualizations (charts, graphs, progressions over time, etc) for presentations

-Help to build the organizational budget; building sub-budgets of the grants unit; domestic program; i.e. breakdown of the details of the funds earned from government grants

International network liaising:

-Supporting ED with preparations for meetings and presentations

-Narrative and financial reporting

-Develop an understanding of the network Resource Sharing Agreement and other network documents

-Assistance with contract management

-Keeping track of up-to-date contracts provided by international chapters

-Maintaining hard and digital copies

-Individualizing templates with pertinent data

Qualifications:

-3-5 years of previous experience in a relevant setting or position

-Previous non-profit experience a plus

-Previous experience with finance/budgeting a plus, but can teach if the person has acuity for numbers, has experience with Excel, and are interested in learning these types of tasks

-Experience working with someone who travels to multiple time zones a plus

Software: MS Office 365 (Excel, PowerPoint, Teams, OneDrive, SharePoint); Zoom; Bill.com (spend and expense); Skype; Justworks, and others.

Salary: Temporary: $30-35/hr. Permanent: $65,000-$80,000
