Executive Assistant/Office Manager | in-person role in NYC | Real Estate Investment Firm


Our client is looking for an Executive Assistant/Office Manager in NYC.

Our client is a real estate development firm with offices throughout the US. We are assisting them in searching for and screening possible candidates for this direct hire, permanent job. If selected, you would be a direct hire employee of our client.

This role is fully in-person in their midtown Manhattan office. The role is 5 days per week (Mondays- Fridays). Candidates must have 2-3 years+ of direct Executive Assistant experience, supporting a C-level or Principal manager, to be considered.

The role is the Executive Assistant to one of the Owners, Assistant to others in the office when needed, and Office Manager.

Some of the Executive Assistant duties:

-Scheduling and calendar management for professional and personal calendar.

-Book travel and liaise between owner’s 3 residences.

-Assist with real estate projects.

Some of the Office Manager duties:

-Answer office phones, not heavy, they use Ring Central VOIP and can train.

-Greet guests and accept deliveries.

-Manage office and conference room calendar.

-Set up conference rooms for meetings, including video calls/conferences (MS Teams).

-Assess inventory and order supplies within budget constraints.

-Stock kitchen and keep kitchen and conference rooms tidy.

-Everyone loads dishwasher but help out and sometimes unload dishwasher in the morning.

-General admin tasks and projects – Excel, PowerPoint, Adobe Acrobat document management.

Looking for:

-A few years of previous experience assisting a small or midsized office and a top executive.

-Someone tech savvy who is able to learn/use office centered software and knows what questions to ask to make things run efficiently.

-Someone with a no task is too small mindset.

-Someone comfortable being in-person in a small office.

-Someone who is comfortable speaking with a variety of different kinds of people – lenders, contractors, property owners, and other business associates.

 

Tech: MS Office. SharePoint. Teams for video. Some zoom. Adobe. DocuSign. Nexus.

Salary: $80,000-$100,000, commensurate with experience. They offer great benefits.
