Front Desk/Facilities Coordinator - ASAP start (in-person) - 4-6 weeks
Front desk reception/facilities coordinator position at a public health non-profit.
Our client is seeking someone for 4-6 weeks + to assist with an in-person front desk/facilities role. The job is Monday-Thursday for December and then Monday-Friday in January.
In-person role. Our person must be fully vaccinated. All staff must be fully vaccinated. The front desk person will be the person who when staff is returning for the first time to verify vaccination proof and enter information in the computer. There are between 10-40 people who go into the office daily. This role sits at the front desk and is the only desk in the reception area (so away from other workstations).
Front desk facilities role. The person should be extremely reliable and discreet and responsible for checking staff, visitors, couriers, and vendors for COVID vaccines, ensuring that they understand COVID protocols. Part of the role is to move around the office so you can get coverage or keep an ear out for the phone and doorbell. There is some lifting – this role stocks the kitchen and also breaks down the conference room after meetings etc.
-Pro-actively engages with staff, visitors, couriers, vendors throughout the day with a warm welcome and support for abiding by office protocols
-Check staff, visitors, couriers, vendors for COVID vaccines, ensure that they understand COVID protocols – will train our person.
-Manages incoming and outgoing mail, couriers, and related services
-Ensures reception and other shared spaces, such as kitchens and all meeting rooms, are welcoming, well-managed, and well-maintained
-Throughout the day, manages kitchen equipment and supplies to ensure coffee machines, refrigerators, dishwashers are clean, in working condition, and well stocked
-Serves as the primary liaison with the cleaning company to ensure all services are carried out to the highest quality standards
-Engages with staff and event planners around the use of the headquarters common spaces. Works closely with colleagues to ensure all common spaces are well managed and serve all staff working or visiting the New York facility
-Serves as a searcher in the headquarters emergency action planning procedures
-Monitors Facilities request system and respond to logs as per established procedures, problem-solving when possible, and escalating requests to Senior Facilities and Operations Manager when necessary
-Tracks deliveries, cross-checks accuracy of deliveries before processing payments, stocks central supplies delivered to the office
-Reviews the Front-Desk manual regularly, updating information, contacts, and procedures as needed
-Organizes on-site office storage and coordinates offsite storage
-Assists Senior Facilities and Operations Manager in special projects
-Events management, including Vital Talks – provides guidance to staff preparing events in the office, checks in and out events guests, helps to place equipment in rooms (chairs, tables, furniture, brochures, totes)
-Catering – shares catering guidance with staff, prepares to receive catering, helps set up food, and provides essentials for dining (tablecloth, napkins, utensils, etc.)
-This position may include moving office furniture and equipment of up to 30 lbs.
